1. Overview and Scope

Anhder Electric LLC is a professional services firm focused on computer integrated systems design and the technical coordination that surrounds it. Our work is unusual in one respect: most of the information we handle arrives at a physical truck gate and is recorded on a card, a ticket or a pass before it is ever stored in software. This policy therefore covers both the paper and the digital records that pass through our desk in Spanish Fork, Utah.

This policy applies to visitors of this website, to clients who engage the desk, to carriers and crews who present gate cards, and to inspectors and reviewers who receive inspection passes. It does not apply to websites operated by other companies, even when we link to them, and it does not apply to records that a client keeps in its own systems. Where a client supplies its own privacy notice to its workforce, that notice governs the employment relationship, and this policy governs only the portion of the record that we hold.

We wrote this policy in plain English on purpose. A privacy notice that only a lawyer can follow is not a useful notice, and the people who use our gate desk deserve to understand what happens to the information they hand to us.

2. Key Definitions

Personal Information

Personal information means any data that identifies, relates to or could reasonably be linked to an individual. For our desk this most often means a name, a company name, a phone number, an email address, a vehicle identifier or a signature on a gate card.

Gate Records

Gate records are the card, ticket and pass documents we issue at the Spanish Fork gate, together with the associated log entries that record when a vehicle arrived, who authorized entry and which stage of work was reached.

Site Record

A site record is the collection of gate records, permit filings and set books that belong to one project address. It is the unit we use for retention, audit and handover.

The Desk

The desk refers to the permit routing function of Anhder Electric LLC, including the staff who issue documents at the gate and the systems that index them.

3. Information We Collect

We try to collect only what a gate decision actually requires. The categories below describe the full range of information that may pass through the desk, though any single visit will involve only a small part of it.

  • Identity and contact data such as your name, employer, role on a site, email address and phone number.
  • Vehicle data such as a plate number, carrier name and trailer identifier when a delivery passes the gate.
  • Document data such as gate cards, job tickets, inspection passes, permits and set book photographs.
  • Site data such as the project address, scope description, drawing revision and the name of the receiving lead.
  • Correspondence data such as emails, form messages and notes taken during a phone call about a permit question.
  • Technical data such as an internet protocol address, browser type and the pages viewed on this website.

We do not ask for sensitive categories of information such as health data, biometric identifiers or government identification numbers through this website, and we ask that you do not send them to the desk unless a specific permit process requires them. If such a requirement arises, the desk will explain the reason in writing before asking for the data.

4. Sources of Information

Most information reaches us directly from you. You give us your name when you ask for a gate card, you give us a project address when you open a site record, and you give us a message when you use the contact form. Some information reaches us from your employer or the general contractor who engaged us, because a crew list is usually supplied by the party that hired the crew.

We also receive information from authorities that review permits, from inspectors who return a pass with comments, and from carriers that confirm a delivery window. In limited cases we receive technical data automatically when you visit the website, as described in the analytics section below. We do not purchase personal information from data brokers, and we do not enrich gate records with marketing profiles.

5. How We Use Information

We use personal information to run the desk, and for purposes that are directly connected to a desk decision or a legal obligation. The main uses are listed here.

  • Issuing, matching and closing gate cards, job tickets and inspection passes.
  • Assembling and tracking permit packets, including reviewer comments and revised drawings.
  • Compiling transformer set books and archiving them with the correct site record.
  • Activating the storm callout rota and contacting the crew assigned to a gate window.
  • Answering questions sent through the contact form, email or phone.
  • Preparing invoices, closeout packages and audit responses for clients.
  • Maintaining the security and integrity of our records and systems.

We do not use personal information for advertising, and we do not sell it. If we ever wish to use a record for a purpose that is not described here, we will ask for your consent first or explain the legal basis that permits the new use.

6. Gate Card and Job Ticket Records

Gate records deserve a dedicated explanation because they are the heart of our work. A gate card is created before a vehicle arrives and is tied to a named window and scope. When the vehicle reaches the gate, the card is matched to a job ticket, and the receiving lead signs the ticket before unloading begins. The inspection pass is issued later, based on the signed ticket, and the set book and permit are filed at closeout.

Each of those steps creates a record. The record includes the time, the name of the person who authorized it and the stage that was reached. We keep these records because a project owner needs to know who was on site and when, and because a carrier may need to prove that a delivery occurred within an agreed window. We do not use gate records to evaluate individual workers for any purpose beyond site safety and contract performance, and we do not share them with parties who have no legitimate interest in the site.

Access to gate records inside our organization is limited to desk coordinators and the supervisor who owns the site record. Every access is logged, and a record may not be altered once a stage has been signed. If a correction is required, the desk adds a note rather than editing the original entry, so the history stays complete.

7. Legal Bases for Processing

Where the law requires a legal basis for processing, we rely on the following grounds. We process information to perform a contract when you or your employer engages the desk, because issuing a gate card is part of the service. We process information to comply with legal obligations when a permit authority or insurance requirement demands a record. We rely on legitimate interests when we maintain site safety, protect our systems and answer questions that are reasonably related to an existing engagement. When none of those grounds applies, we ask for consent and honor a withdrawal of that consent.

If you are unsure which basis applies to a particular record, you may write to the desk and we will explain it. We would rather answer that question in a short email than leave a client guessing about the foundation of our processing.

8. Sharing and Disclosure

We share personal information only when a desk function requires it. The categories of recipients are limited and predictable.

  • Site owners and general contractors who need to know who was on site and which stage was signed.
  • Permit authorities and inspectors who review a filing or return an inspection pass.
  • Carriers and crews when a card, ticket or correction concerns their own delivery or work.
  • Service providers who host our records or handle email, under contracts that limit their use of the data.
  • Professional advisers and insurers when a claim or audit makes disclosure necessary.
  • Courts and regulators when the law compels disclosure.

We do not sell personal information, and we do not share it for cross context behavioral advertising. When we must disclose a record, we disclose the minimum that satisfies the request and we keep a note of what was sent and why.

9. Retention of Records

We keep a site record for as long as the project is active and for a defined period afterward. The period is set by the contract, by permit retention rules and by insurance requirements, and it is usually measured in years rather than months because an audit can arrive long after a project closes. When the period ends, we destroy the record in a way that cannot be reconstructed, unless a legal hold requires us to keep it.

Website correspondence that does not become part of a site record is kept for a shorter period. A routine enquiry that does not lead to an engagement is deleted once it is clear that no further action is needed. A request to delete data is handled under the rights section below, subject to any legal hold that applies to a gate record.

10. Security Measures

We protect records with a combination of physical and technical controls. Printed cards and tickets are stored in a locked cabinet at the gate office and are collected at the end of each window. Digital records are held in access controlled systems, and each coordinator has a named account rather than a shared login. We encrypt data in transit and restrict administrative access to the supervisor who owns the site record.

No system is perfect, and we do not pretend otherwise. If a security incident affects personal information, we will investigate promptly, notify the affected parties without undue delay and report to any regulator that the law requires. We test our access controls each quarter and review the results with the desk team, because a control that is never tested is only a hope.

11. Cookies and Local Storage

This website is intentionally simple. It does not set advertising cookies and does not embed third party trackers. Where we use local storage, it is to remember a small interface preference such as whether a page section has already been revealed, and that value stays on your device. You can clear it at any time through your browser settings.

If we later add a cookie for a functional purpose, we will describe it in this policy before it goes live and will offer a way to decline it where the law requires. We will not silently introduce a tracking cookie and then bury the change in a footnote.

12. Analytics and Log Data

Our web server records basic log data such as the requested page, the time of the request and a truncated internet protocol address. We use this data to keep the site running and to understand which pages are useful. We do not attempt to identify individual visitors from log data, and we do not combine it with gate records.

If we adopt an analytics service in the future, we will choose one that minimizes personal data, will describe the service in this policy, and will provide an opt out where required. Any analytics we use will be limited to aggregate measures of site performance rather than individual profiles.

13. Your Privacy Rights

Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to delete it, to restrict its use, to object to certain processing, to receive a portable copy and to withdraw consent. You may also have the right to appeal a decision we make about a request.

To exercise a right, write to permits@anhderelectric.autos or call +14457774074 and describe the record you are asking about. We will verify your identity before acting on a request, because we do not want to hand a gate record to someone who is not entitled to it. We will respond within the period the law allows and will explain any limitation, including a legal hold that prevents deletion.

You will never be penalized for exercising a privacy right. If a request concerns a record that belongs to your employer rather than to you personally, we may need to coordinate with that employer, and we will tell you when that is the case.

14. Privacy for Children

Our services are aimed at businesses and at adults who work on construction and systems projects. This website is not directed to children, and we do not knowingly collect personal information from anyone under the age of thirteen. If you believe that a child has sent us information, contact the desk and we will remove it promptly. Gate records are created for vehicles and crews, not for minors, and the desk will not issue a card to an unaccompanied minor.

15. International Transfers

We are based in the United States, and our records are stored in the United States. If you contact the desk from another country, your information will be transferred to the United States for processing. Where the law requires safeguards for an international transfer, we use appropriate contractual terms and limit the transfer to what the desk function requires.

Because our records support a physical gate, most processing happens close to the gate itself. Transfers are rare and are usually limited to correspondence with a client or an authority that sits outside the country.

16. Third Party Services

We use a small number of service providers to host the website and to handle email. These providers process data on our instructions and are bound by contracts that prohibit them from using it for their own purposes. We review those contracts when they renew and require notice before any subcontractor changes.

This website may link to other sites, including permit portals and industry resources. We are not responsible for the privacy practices of those sites, and we encourage you to read their notices before submitting information. A link is not an endorsement of another company and does not mean that we share records with it.

17. Changes to This Policy

We may update this policy when our practices change or when the law requires it. When we make a material change, we will update the effective date at the top of this page and, where appropriate, notify clients who have an active site record. We keep prior versions on file so that a client can see what applied at the time a record was created.

Continuing to use the desk after a change means that you accept the updated policy. If you do not accept a change, you may contact the desk to discuss the records that concern you, and we will explain the options that are available under the contract.

18. How to Contact Us
